Farm Manager (“we”, “us”, “our”) operates the website at farmmanager.co.za and the Farm Manager web application. This policy explains how we collect, use, store and protect personal information when you use our services.

We process personal information in line with the Protection of Personal Information Act, 2013 (POPIA) of South Africa. By using Farm Manager, you agree to the practices described here.

Who we are

Farm Manager provides livestock and farm management tools for South African farmers, including farm records, reports and planning calculators. The responsible party for personal information processed through the service is Farm Manager, contactable at privacy@farmmanager.co.za.

What information we collect

Depending on how you use Farm Manager, we may process:

• Account information — email address and authentication details when you sign in or create an account.
• Profile information — such as your name, farm name and currency preference if you provide them in the app.
• Farm and livestock data — records you enter, including animal counts, feed, health records, properties, transactions and related farm activity.
• Invite and access information — if you join during beta, we may store invite usage and account access status linked to your user account.
• Technical information — basic device and browser data, IP address, and service logs needed to operate, secure and troubleshoot the service.
• Local storage — the app may cache data in your browser or device storage to improve performance and support offline use.

Our public calculators can be used without an account. Calculator inputs are processed in your browser and are not stored on our servers unless you choose to sign in and save related farm data in the app.

Why we use your information

We use personal information to:

• provide, maintain and improve the Farm Manager app and website;
• authenticate users and manage invite-only beta access;
• store and sync your farm records in the cloud when you are signed in;
• respond to support requests and communicate about the service;
• protect the security and integrity of our systems; and
• comply with legal obligations.

Legal basis under POPIA

We process personal information where necessary to perform our contract with you, where you have consented, where processing is required by law, or where we have a legitimate interest that does not override your rights (for example, keeping the service secure and reliable).

How we share information

We do not sell your personal information. We may share information with trusted service providers who help us operate Farm Manager, including:

• Google Firebase — authentication, cloud database (Firestore), hosting and related infrastructure.

These providers process data on our behalf under appropriate contractual and security safeguards. We may also disclose information if required by law or to protect our rights, users or the public.

Where data is stored

Farm Manager uses cloud infrastructure that may store or process data outside South Africa. Where information is transferred across borders, we take reasonable steps to ensure it receives a comparable level of protection as required under POPIA.

How long we keep information

We retain personal information for as long as your account is active or as needed to provide the service, resolve disputes, enforce agreements and meet legal requirements. You may request deletion of your account and associated farm data, subject to any records we must keep by law.

Security

We use reasonable technical and organisational measures to protect personal information, including access controls, encrypted connections and Firebase security rules that limit access to your own farm data. No online service can guarantee absolute security.

Your rights

Under POPIA, you may have the right to:

• request access to personal information we hold about you;
• request correction of inaccurate or incomplete information;
• object to certain processing;
• request deletion of personal information where applicable; and
• lodge a complaint with the Information Regulator of South Africa.

Children

Farm Manager is intended for farmers and farm operators. We do not knowingly collect personal information from children under 18 without appropriate consent.

Changes to this policy

We may update this privacy policy from time to time. The “Last updated” date at the top of this page will change when we do. Continued use of Farm Manager after changes take effect means you accept the updated policy.
